Freelance Web Solutions ("we", "us", "our") is based in Blantyre, Malawi. This policy explains what personal information we collect through freelancemw.com, why we collect it, who we share it with, and the choices you have.

1. Information we collect

When you contact us

If you use our contact or enquiry forms, we collect the details you submit, such as your name, email address, phone number and message.

When you apply for a job

If you apply through our Careers page we collect your name, email address, phone number, years of experience, any cover letter or message, and the CV you upload. Applying is optional and requires your consent on the form.

Collected automatically

• Your IP address, which we use to prevent spam and abuse (for example, limiting the number of applications from one address).
• Session cookies that keep forms secure and, for our staff, keep them signed in.
• Standard server logs (pages requested, browser type, date and time).

2. How we use your information

• To respond to your enquiries and provide our services.
• To review and process job applications and to contact applicants about their status.
• To protect the website from spam, fraud and abuse.
• To maintain and improve the website.

3. AI-assisted application screening

To help our small team review applications fairly and quickly, we use an AI service (Anthropic's Claude) to read each CV and application and produce a summary and a suggested score against the job requirements. The CV content and application details are sent securely to Anthropic for this purpose. The AI output is only a recommendation: people at Freelance Web Solutions make every hiring decision, and you may ask us to review your application without the AI summary.

4. Who we share information with

We do not sell your personal information. We share it only with service providers that help us run the website and our business:

• Anthropic for AI-assisted screening of job applications (see section 3).
• Google reCAPTCHA to detect bots on our forms. Google's own privacy policy applies to that check.
• Our web hosting and email providers, who store data and deliver messages on our behalf.
• Facebook (Meta): we publish our own articles and updates to the Freelance Web Solutions Facebook Page. This does not involve sharing visitor data with Facebook. Facebook login is used only by our administrators to link the Page.

We may also disclose information where required by law.

5. How long we keep your information

• Job applications and CVs are automatically deleted 12 months after you apply.
• Enquiries are kept for as long as needed to deal with your request and our business records.
• Server logs are kept for a short period for security purposes.

6. Security

Uploaded CVs are stored outside the public web folder under random file names, forms are protected against forgery and spam, and access to applications is limited to authorised staff. No system is perfectly secure, but we take reasonable steps to protect your information.

7. Your rights

Subject to applicable Malawi data protection law, you may ask us to access, correct or delete the personal information we hold about you, to withdraw your consent, or to stop using it for a purpose. To do so, email us at the address below or follow the steps on our User Data Deletion page. For job applications, deletion requests are honoured sooner than the 12-month limit.

8. Cookies

We use only the cookies needed for the site to work securely (such as session and form-security cookies) plus those set by Google reCAPTCHA on forms that use it. We do not use advertising cookies.

9. Children

Our website and job applications are intended for adults. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
